KLCT (“KLCT”, “we”, “us”, or “our”) operates the klctai.com platform, a business operations and communication platform that helps our business customers manage contacts, workflows, support, feedback, and communication (voice, SMS, and email) with their own contacts. This Privacy Policy explains what information we collect, how we use it, and the choices available to you.
1. Who this policy covers
- Customers — the businesses and authorized users who hold a KLCT account.
- Contacts — the individuals our customers manage and communicate with through the platform.
- Visitors — people who visit our public websites.
2. Information we collect
- Account data: name, email address, company, billing details, and authentication credentials.
- Contact data uploaded by customers: names, email addresses, phone numbers, and related CRM fields for the contacts our customers choose to manage.
- Communication data: email content, call recordings/transcripts, SMS content, support tickets, feedback, and message metadata created through use of the platform.
- Usage and delivery data: log data, device/browser information, and email delivery events (sends, deliveries, opens, clicks, bounces, complaints, unsubscribes).
3. How we use information
- To provide, operate, secure, and improve the platform.
- To send communications that our customers initiate to their own contacts.
- To send transactional and account messages (e.g., verification, notifications, confirmations, replies).
- To monitor deliverability and prevent abuse, including maintaining suppression lists.
- To comply with legal obligations.
4. Email communications, consent, and permissible use
KLCT is used to communicate with contacts that our customers have an existing or legitimate business relationship with. Our terms of service prohibit customers from importing purchased, rented, or scraped email lists, and from sending unsolicited bulk email.
Every non-transactional email we send on a customer’s behalf includes a one-click unsubscribe mechanism (RFC 8058 List-Unsubscribe headers) and a visible unsubscribe link. Unsubscribe requests take effect immediately and permanently for that customer’s account. Addresses that hard-bounce or file a complaint are automatically suppressed and removed from all active communication.
5. Service providers
We share data with vetted processors strictly to operate the service, including Amazon Web Services (email delivery via Amazon SES, and hosting), Twilio (SMS and telephony), Vapi (AI voice call processing), and Stripe (payment processing). We do not sell, rent, or trade personal information.
6. Data retention
We retain personal information for as long as an account is active or as needed to provide the service, and thereafter as required to comply with legal obligations, resolve disputes, and enforce our agreements. Suppression records are retained to honor opt-outs.
7. Security
We use industry-standard technical and organizational measures to protect information, including encryption in transit, access controls, and signed webhook verification. No method of transmission or storage is completely secure, but we work continually to protect your information.
8. Your choices and rights
- Unsubscribe: use the unsubscribe link in any email, or contact us.
- Access, correction, deletion: you may request access to, correction of, or deletion of your personal information.
- Contacts: if you are a contact and wish to have your data removed, contact us and we will route the request to the relevant customer (the data controller) and honor applicable law.
9. International transfers
We operate primarily in the United States. If you access the service from outside the US, you understand your information may be processed in the US and other countries.
10. Changes to this policy
We may update this Privacy Policy from time to time. Material changes will be posted on this page with an updated “Last updated” date.
